Cancellation Policy

At our practice, we believe in providing transparent and straightforward care. This cancellation policy aims to be fair and protect the practice from providing services that are not compensated. If you choose to cancel your membership, we want to ensure you understand the financial obligations involved, especially if you cancel before the end of your membership year.

Cancellation Process

To cancel your membership, please send a written request via email to cancellation@theviennaclinic.com or through our secure messaging system. Cancellations are effective at the end of the billing cycle after the notice period.

Financial Obligations for Cancellation

If you cancel your membership before the end of your membership year, your financial obligations will depend on the services you've utilized:

  • Office or Virtual Visits: For each office or virtual visit, you are responsible for two months of membership fees.

  • Phone Consultations: For each phone consultation, you are responsible for 0.5 months of membership fees.

  • Secure Messages: For each secure message response from our team, you are responsible for 0.25 months of membership fees.

These charges will be calculated based on the number of services utilized during your membership year prior to cancellation.

Additional Terms

Annual Members: If you are an annual member, a prorated refund for any unused months may be processed after accounting for the above obligations and the current rate of the monthly membership plan.

Monthly Members: If you are a monthly member, any remaining balance will be charged or credited based on the services used.

No Charges for Unused Services: If you cancel and have not utilized any services, you will only be required to fulfill the monthly dues for the current month.

Any charges owed will not exceed the total annual cost of the plan.

Transition Period

For 30 days following cancellation, even if it extends past the end of the current month, you will be able to:

• Request refills on medications (limited to a 30-day supply).

• Send secure messages, which will be billed at $10 per message.

• Schedule urgent visits, which will be billed at $300 per visit.

Please note that you will no longer have access to the physician by phone unless the physician or a member of the practice initiates the call.

Waiver of Financial Obligations

The clinic reserves the right to waive any portion of a departing member's financial obligations. We are also willing to consider financial hardship as a reason to waive any portion of or all of a departing member's financial obligations, but may require documentation to confirm such a request.

This cancellation policy is subject to change. Please be aware that any updates will be communicated to you in writing. By maintaining transparency, we aim to foster a trusting relationship with our patients.
